Client statuses: Prospect, Active, Inactive
Updated 25 September 2026
Every client has one of three statuses, shown as filter chips (All, Prospect, Active, Inactive, each with a count) at the top of the Clients screen.
- Prospect β someone you haven't started paid, ongoing coaching with yet. This is the default status for a newly added client.
- Active β a client you're currently coaching. Only Active clients count towards your plan's client limit.
- Inactive β a client who isn't currently active, but whose history you're keeping.
Coachstra changes a client's status automatically in some cases: a payment moves a Prospect or Inactive client to Active, and a new booking brings an Inactive client back as well. You can also change a client's status by hand from their profile.
On the Clients list, an Inactive client shows a Reactivate link to bring them back to Active directly.
If your plan's client limit is reached, moving a client to Active (by hand, not automatically) may be refused with an error explaining the limit β archived clients never count towards it.
