Import your clients from a spreadsheet

Updated 30 September 2026

If you're moving to Coachstra from another tool, you can bring in your whole client list at once instead of adding clients one by one. Coachstra imports contact details only: name, email, phone, tags, referral source and company. Past sessions, notes and payments stay in your old tool. Nothing is sent to your clients when you import.

  1. Get your client list as a CSV file. See the sections below for your old tool, or save your own spreadsheet as CSV.

  2. On the Clients screen, press Import clients and drop in the file.

  3. Match your columns. We guess where each column goes; check them. Only the name is required. If your phone numbers don't start with "+", choose the country they're from.

  4. Check before importing. Rows with a problem are listed by their row number in your spreadsheet. For clients you already have, choose Skip, keep what I have or Add missing details (this only fills empty fields and never overwrites anything). Choose whether everyone becomes Active, Inactive or a Prospect.

  5. Press Import. You can undo the whole import for 30 days. Undo keeps any client you've already started working with.

Paperbell

Look for Export in your Paperbell settings, and choose CSV.

Dubsado

In Dubsado, the export is on the Projects tab: choose a project status, press Export, and pick client information. You get a CSV file, ready to import. If your clients are spread across several statuses, export each one. See Dubsado's own guide, Export data from Dubsado.

HoneyBook

In HoneyBook, go to Clients β€Ί Contacts, open the β‹― menu and choose Download spreadsheet. You get a CSV file of your contacts' names, emails and phone numbers. See HoneyBook's own guide, Download and export your contacts list.

CoachAccountable

CoachAccountable's own export saves one client at a time as a web page, not a spreadsheet, so it can't be imported. Ask CoachAccountable's support for a CSV of your client list, or copy your clients' names and emails into our template.

Practice Better

Practice Better can export your clients' contact details from My Clients: look for Export contact information. Names and emails are all the import needs. If the file opens in Excel, save it as CSV first (see below). For a full export of everything, contact Practice Better's support.

Excel or Google Sheets

In Excel, choose File β€Ί Save As and pick CSV UTF-8. In Google Sheets, choose File β€Ί Download β€Ί Comma-separated values (.csv).
