Client consent for recording and AI
Updated 25 September 2026
Coachstra won't record, transcribe or send anything for AI notes until you've recorded that the client agreed. The check runs on Coachstra's servers every time, not just by hiding buttons. Recording is available for 1:1 sessions only.
Ask during the session
If there's no agreement yet, the Live Session screen shows Before recording β has [name] agreed? with a sentence you can read out to your client.
- Ask your client.
Choose Yes β just this session, Yes β all our sessions or No β donβt record.
- Once they've agreed, Start AI transcription appears.
- Yes β just this session covers this one session. You'll be asked again next time.
- Yes β all our sessions stands until you change it.
- No β donβt record means nothing is recorded or transcribed, and Coachstra stops asking at every session. You can still run the session and write your own notes.
For in-app video calls there's no ask on the screen, so record the client's agreement on their profile before you join.
Record it on the client's profile
Open the client, go to the Overview tab and find Recording consent. The line starting Right now: shows where things stand, such as "Agreed for one session only" or "Declined β do not record".
Tick the box ending agrees to their sessions being recorded for AI notes to record a standing yes, then press Save these settings. Untick it to record that the standing yes no longer applies. If a client who said no changes their mind, this is where you record it.
How the answers work
- The most recent answer always counts. A yes followed by a no means no recording.
- Each answer is kept as a dated record with a description of what was agreed. It's stored as your account of what the client told you.
- You can't edit or delete these records. A change of mind is simply a new answer.
- A client with consent records can't be deleted, only archived.
- If Coachstra can't read a client's consent history, recording stays off until it can.
