Turn AI notetaking on or off for your practice
Updated 25 September 2026
A single switch controls whether AI notetaking is offered anywhere in your practice. It starts switched on. Switching it on doesn't record anything by itself: each client still has to agree first (see Client consent for recording and AI).
- Open Settings, then Practice setup.
- Open the Video & Comms section.
- Tick or untick Make AI notetaking available in my sessions.
If you like, pick an AI write-up length: Standard, Short β the essentials or Detailed β the full picture.
- Press Continue to save.
What happens when it's off
- On the Live Session screen you see AI notetaking is turned off instead of the recording controls. For in-app calls, Join call still works, but Join & start AI transcription disappears.
- Coachstra's servers also check the switch, so nothing gets round it by another route. Starting a recording, uploading audio or a transcript, and β» Draft again are all refused with: "AI notetaking is turned off for your practice β turn it back on in Setup β Video & Comms."
- The AI helpers on Session Notes that read a session's transcript are refused as well, and no AI briefings from intake answers are prepared.
- Your own notes, and any notes you've already made, stay as they are.
If Coachstra can't read the setting for some reason, it doesn't guess. It refuses and says "Couldn't check your AI settings β try again."
What happens when it's on
The recording controls show on the Live Session screen for 1:1 sessions. Coachstra still asks for each client's agreement before anything is recorded. Then you can record a session or upload a transcript.
