Record a session or upload a transcript
Updated 25 September 2026
Every route needs two things first: AI notetaking switched on for your practice, and the client's agreement for this session. Recording works for 1:1 sessions only.
Record in your browser
On the client's Sessions tab, press Join / view next to the session.
- Set Where's this session?
Press Start AI transcription and let your browser use the microphone.
- At the end, press Stop & upload. This also ends the session.
Coachstra transcribes the recording and writes your AI notes. You'll get a notification when they're ready, and they appear on the session's Notes tab.
This records your device's microphone only. For Zoom, Google Meet or Microsoft Teams, use your speakers rather than headphones so both sides are picked up.
A browser recording holds roughly an hour and 40 minutes of audio. A longer one is too large to transcribe.
In-app video calls
Set Where's this session? to Daily.co (in-app). If the client's agreement isn't recorded yet, the screen asks for it first, the same as for any other session. Then press Join & start AI transcription. The call's audio is recorded and transcribed the same way. Join call meets without recording.
Upload afterwards
On the session's Notes tab:
- Upload an audio recording takes mp3, m4a, wav, webm, mp4, mpeg or mpga files up to 24 MB. Tick I confirm the client was informed and consented before this recording was made., then press Upload recording.
- Upload a transcript takes a .vtt, .srt or .txt file up to 2 MB, or pasted text. Press Upload transcript. It replaces any transcript already held for the session and writes a fresh AI write-up. The previous write-up is kept so you can undo, and your notes and your client's note aren't touched.
What happens to the audio
The audio is sent to OpenAI for transcription, and the transcript is used to write your AI notes (see our sub-processors).
At the moment, Coachstra removes a recording's audio once it has been transcribed and is about 90 days old. The transcript and notes stay. Audio from a recording that wasn't transcribed isn't removed this way. That 90-day period is provisional while we finalise how long audio is kept, so it may change. Our privacy policy covers how your data is kept.
